Dynamics GP for Project Organization: Implementation, Support, Integration

Microsoft Dynamics GP, or how it was originally known Great Plains Dynamics, is good and flexible mid-market Corporate ERP platform. It has multiple native modules to fit majority of the industries, including Project Accounting module, which should be a good fit for project firm. You can definitely request PA executive presentation, however in this small publication we would like to give you real case studies on how Great Plains Dynamics was implemented with Project Accounting:

1. Construction. This is where Project Accounting has probably classical scenarios. PA allows you to have Contract with your customer and then for each contract you may have multiple projects. For the project you further have cost categories with their own budgets. In Project Accounting theory you may remember project phases – we recommend you to treat phase as cost category in GP PA. Phases are useful in building construction, where you have to respect timing and track your expenses, overhead, materials toward the phase and the whole project. For your construction workers and managers you open Project Timesheets (for time entry), employee expenses, equipment logs, plus you can assign Purchases to the project as well as inventory items transfers. Whatever doesn’t classify to the mentioned above, you can record as Miscellaneous logs. There is mechanism to enter Project related returns. When everything is entered – you are ready for Project Billing

2. Healthcare Recruiting. Here we have good example on how PA automated certified nurse placement USA nationwide. Each hospital is a project, where placement organization has nurse certification requirements and suggested budget for the opening. In this case study we had to open Project Accounting timesheets and employee expenses via web for self-service (time log entry) and staffing firm also had its own custom system to log time, which was integrated with Timesheets and Employee expenses via SQL Server Stored procedures. Everything is recorded in Project Accounting tables and you have control over the central data source, open to such industry reporting tools as Crystal Reports, Microsoft SQL Server Reporting Services (SSRS), MS Access Reports, Excel

3. How to integrate Project Accounting master records (Project, Contract) and transactions (Timesheet Entry, Expense Log, etc.)? There is Microsoft Dynamics GP SDK – eConnect, where for current version 2010/11.0 as well as for versions 10.0 and 9.0 you have reasonable set of objects and transactions open for programming in Microsoft Visual Studio .Net C#, VB and other .Net compliant programming languages (we recommend you to stick to C# or VB, as you will have code samples available, for other languages you would have to use C# samples and translate them to your more exotic coding language)

4. Direct SQL Stored Procedure base Project Accounting table data feeding. We are comfortable to do that type of integration, because we work with Great Plains Integration projects over fifteen years. However, if you are making first steps (typically being new hire in IT department for the organization, where you have Dynamics GP Project Accounting implemented) – we do not recommend you to do ad hoc SQL data insertions, or at least you should make a copy of your production company and try it in test company environment

5. Project Accounting Support for Dynamics GP. If you contracted Microsoft Dynamics GP Partner who makes first steps with Project Accounting module, you may run into the situation, where implementation went into limbo, especially when you requested complex data conversion (with project and contract history). 6. Project Accounting in Larger Organization, integration with Oracle, Linux/PHP/MySQL, DBII, Progress. There might be scenarios, where you are working for the outlet of the very large publicly traded company, and you have to provide integration to such Corporate ERP high end solutions as SAP, Oracle eBusiness Suite/Financials/Applications, Lawson, Platinum. Typically you have to program integration connectors via SQL heterogeneous (often referred as cross platform) stored procedures, XML files. And by the way cross-platform queries could be deployed in Dynamics GP Integration Management module (advanced ODBC data sources)

7. Dynamics GP Project Accounting and Linux/MySQL/PHP. Linux might be associated with free software and if you are on Linux, your business entity might be fairly small. Our experience in dealing with Linux customers typically end up with either Great Plains Integration Manager (resolving connection to MySQL Database via exported text files or MYSQL ODBC driver) or eConnect programming (with more kind of luxury case, where you have to provide ODBC or native MySQL Driver for Windows)

8. Dynamics GP Project Accounting Data Conversion Notes. Data migration, massage and conversion is something where you would need to hold on until you are completely aware on the business impact. Our recommendation is to keep your history ERP or Accounting system ready for inquiries and reports, while your new Great Plains Dynamics GP Project Accounting will server for the perspectives
